How to Put Your Logo on a Hat: From Image File to Stitched Cap
You have a logo on your phone or laptop, and you want it stitched on a hat. Here is the whole journey, honestly explained: what happens to your file, what “digitizing” means, why embroidery isn’t printing, and the three ways to get it done at our shop, whether you like doing things yourself or would rather hand it off.
Step 1: Start with the right file
A clean PNG or JPG of your logo is enough to begin. Higher resolution helps, and a version without a busy background is ideal. You do not need a vector file, an embroidery file, or anything technical. If something about your art will be a problem at stitch time, we flag it before you pay, not after.
Step 2: Pick the blank
Structured or unstructured, snapback or ponytail, trucker mesh or performance fabric: the blank changes how a logo sits. Small tip from the machine room: densely detailed logos read better on smooth, structured fronts, while simple bold marks work almost anywhere. If you’re unsure which style suits you, our dad hat vs. snapback vs. trucker comparison and the size and placement guide are the two pages to skim first.
Step 3: Place the design, or have us place it
Do it yourself in the designer. On any product page, open the designer, upload your logo, and drag it where you want it: front, left side, right side, or back on most caps. You’ll see a live preview on the exact hat and color you picked. You can add text alongside it in any of our 77 embroidery fonts and 141 thread colors.
Or skip the designer entirely. Message us on the chat bubble or email your logo to sales@thehatstorebycypress.us with the hat you want, and we’ll set the design up for you and send a preview for approval. Same price either way. Phone orders work too: we email you an invoice with a secure pay link.
Step 4: What “digitizing” is, and why it matters
An embroidery machine can’t read an image file. Your logo has to be converted into a stitch program that tells the needle where to go, in what order, with which thread. That conversion is called digitizing, and it’s a one-time job per logo: $35, waived on orders of $250 or more. Once your logo is digitized, it stays on file with us, so every reorder skips the fee and stitches identically to the last run.
This is also why embroidered logos sometimes get simplified: thread has a physical width, and a 6-point tagline that reads fine on screen becomes unreadable in stitches. If your logo needs that kind of adjustment, we’ll show you before anything is sewn.
Step 5: Stitching and shipping
Your hat is hooped and stitched on a Barudan multi-head, the same commercial machines used for the big-brand production work our shop has handled for over 28 years. It’s inspected, packed with a slip, and shipped. Standard shipping is free on orders of $35 and up. On orders of $250 or more, we stitch a free physical sew-out sample on the same blank and get your OK before running the rest.
Common questions
How many locations can I decorate?
Most caps take up to four: front, both sides, and back. The first location adds $10, each additional adds $8, and the product page shows the total as you toggle them.
Can you match my brand colors?
We stitch from a 141-color commercial thread chart, which covers nearly every brand palette in practice. Pick your colors in the designer, or tell us the ones you use and we’ll match as closely as thread allows.
Can I put text on one side and a logo on the front?
Yes. Each location is independent: logo front, name on the side, anything on the back. Each decorated location is priced on the same $10 first, $8 additional ladder.
What if I don’t like the preview?
Change it until you do, or ask us to. Nothing is stitched until you’ve approved what you see, and every order carries our 100% satisfaction guarantee.
